The Challenge

Practice leadership at Colorado Plastic Surgery Center wanted to modernize how the business ran, but every workflow touched PII or PHI, introducing compliance and privacy complications. The practice needed a transcription solution built for a PHI-regulated environment, one that could operate under a signed BAA. Document management was disorganized. Patient-facing pricing and scheduling had no AI layer to guide engagement or feed opportunities into the CRM system. Leadership had no consolidated way to see OR turnover KPIs or get briefed on performance day to day. Not only did process gaps exist, but off-the-shelf AI tools couldn’t meet the compliance bar the practice needed.

The Solution

  • Strategic experts at Abacus scoped the engagement directly with the practice owner and built a single roadmap across five tracks, choosing Copilot Studio over alternatives specifically for its DLP guardrails and native SharePoint integration. Initiatives included:
  • Copilot Studio deployment – available to the leadership team, with bots integrated directly into SharePoint for easy and secure data access.
  • An AI bot to analyze SharePoint’s folder structure – recommending archiving, categorization (personnel, legal, personal), and naming conventions as part of a broader data hygiene and permissions overhaul.
  • Azure AI transcription with diarization – PII/PHI-compliant audio transcription with diarization, built on Azure AI under a signed BAA, replacing a tool that wasn’t designed for regulated healthcare data.
  • “Your Journey” website overlay – an AI-guided surgical pricing and patient engagement experience integrated with EMR/CRM scheduling and CRM lead capture. 
  • A business agent for OR turnover KPIs – meeting intelligence and daily briefings, alongside training the practice’s own team to build agents in Copilot Studio.

The engagement consolidated data management, compliance, and AI adoption into a single roadmap for the practice. Initiatives increased visibility for practice leadership, defined time-saving processes for practice staff, and established set standards for data hygiene and file organization, all while ensuring compliance and the privacy of critical patient data.

The trial marks the first phase of a broader AI enablement plan for the practice, with the team now equipped to build and extend their own Copilot Studio agents going forward.
